We have concluded a contract on order processing (AVV) with the above-mentioned provider. This is a contract required by data protection law, which ensures that the provider only processes the personal data of our website visitors in accordance with our instructions and in compliance with the GDPR.

 

2.4 STORAGE PERIOD

After the conclusion of the events, personal data will be deleted in accordance with legal requirements. 4.1 Information provision and exchange via Nextcloud ("KJTZBOX")

The data controller operates a central cloud storage service called KJTZBOX - this is a Nextcloud application, including add-on applications embedded in it. Even though this service is not directly offered via the website, it is an essential component in the data transfer in the context of the proposal procedure of the AUGENBLICK MAL! - Children's and youth theatre festival.

The cloud storage service KJTZBOX is hosted externally. The personal data collected in the application is stored on the hoster's servers. This may include IP addresses, contact details, meta and communication data, names, website accesses and other data generated via the BOX. External hosting is carried out for the purpose of contract fulfilment vis-à-vis our potential and existing users (Art. 6 para. 1 lit. b DSGVO) and in the interest of a secure, fast and efficient provision of our online offer by a professional provider (Art. 6 para. 1 lit. f DSGVO). 4.1.2 Order processing

We have concluded a contract on order processing (AVV) with the above-mentioned provider. This is a contract required by data protection law, which ensures that the provider only processes the personal data of our website visitors in accordance with our instructions and in compliance with the GDPR.

 

4.1.3 Data processing

Your data is processed for the purpose of information transfer and media provision, user and group administration and the technical provision of services required for the administration and use of Nextcloud and its security and functionality. The following types of data are required for the provision and use of Nextcloud or are created through its use: user data (e.g. login name, password, role, group membership), content and communication data generated by users (e.g. documents, media), technical usage data (e.g. files generated, error messages) and automatically managed log data (e.g. time of access). As a rule, the cloud storage is used after a user identification (login), which accesses the included database of the user administration. An exception is the provision of information via a sharing link - no user identification is necessary for this. In general, only cookies are used to simplify or enable the secure use of the website for users.

Within the KJTZ, all Nextcloud administrators have access to all data of all persons. Data is passed on within the framework of the technical operation by the hoster PCSE IT GmbH. User data is stored for as long as necessary. This applies to the use of Nextcloud. Consent to the processing of your data can be revoked at any time.

 

4.1.4 Storage period

After termination of the use of Nextcloud or objection to the processing, the users' data will be deleted from Nextcloud within six weeks. Backup files of the Nextcloud server are deleted after 6 months. Log files are kept for 14 days and then automatically deleted. Excluded from the aforementioned deletion periods is data for which applicable legal provisions stipulate longer retention periods. Users have the option to delete content and communication data generated by them at any time.

 

4.2 NEWSLETTERTOOL "NEWS & MAIL SERVICE"

On our website you can subscribe to our newsletter and/or be added to our mailing list via a registration form. For this purpose, we use the tool "News & Mail Service" of the company 4OfficeAutomation GmbH (Schlägelweg 46a, D-31275 Lehrte, e-mail: kontakt@mynewsletter.rocks). This application is part of our internal professional address management software Cobra CRM of the company cobra computer's brainware GmbH (Weberinnenstr. 7, 78467 Konstanz, e-mail: info@cobra.de). Cobra CRM is a database for the collection and professional management of customer data. The database is stored directly with us on a local server and protected from unauthorised access by third parties.

If you would like to receive the newsletter offered on the website, we require an e-mail address from you as well as information that allows us to verify that you are the owner of the specified e-mail address and that you agree to receive the newsletter. Further data will not be collected or only on a voluntary basis.

Your registration takes place via the so-called double opt-in procedure, i.e. after sending the registration form, you will receive an e-mail from us to the e-mail address you provided, in which we ask you for a further confirmation of your registration. Only when we have received this double-confirmation registration will your contact details be stored in the web-based and password-protected "News & Mail Service" application and passed on to our Cobra CRM address management software via an interface. Your data will be used exclusively for sending the mailing lists and newsletters you have selected. You can cancel your registration at any time, your data will then be deleted from the mailing lists and, if you wish, also from the address management software.

 

4.2.1 DATA ANALYSIS BY NEWS & MAIL SERVICE (COBRA CMR)

With the help of the News & Mail Service it is possible for us to analyse our newsletter campaigns. For example, we can see whether a newsletter message was opened and which links, if any, were clicked. In this way, we can determine, among other things, which links were clicked on particularly often. If you do not want any analysis by the "News & Mail Service", you must unsubscribe from the newsletter. For this purpose, we provide a corresponding link in every newsletter message.

The data you provide for the purpose of receiving the newsletter will be stored by us or the newsletter service provider until you unsubscribe from the newsletter and will be deleted from the newsletter distribution list after you unsubscribe from the newsletter. Data that has been stored by us for other purposes remains unaffected by this.
